How to apply for a DBS Check

If your organisation wishes to use our DBS service please register with us by completing this Registration Form.

Caring Hands Charity will provide the original DBS application forms. DBS application forms can be supplied to your organisation on request.

Application Process

  • IN PERSON if an applicant or their representative is able to attend our office.
  • BY POST if your organisation has a verifier (see below).

We do not offer an online DBS check at this time.

Payment must be received at the time of application (or in advance) in order for us to complete the process. An invoice could be provided on request.

DBS application forms can be supplied to the organisation on request. 

Organisations can arrange to collect the application forms directly from our office for their staff/volunteers to complete. The staff/volunteers can come in with all necessary documents (see below) and complete their DBS application form in our office. Also a representative from the organisation could bring the completed DBS application forms back with the original documents (see below) and a payment.

Application Process IN PERSON:

Applicants can complete a DBS application form in our office.

We are open for this service Monday, Tuesday, Wednesday, Friday 9am - 2pm only.

We must view at least three original documents. These documents must separately verify the identity and residence of the individual. All documents should be hard copy and original. We will only accept good quality signed photocopies of the verified documents by a verifier known to Caring Hands Charity http://www.caringhandscharity.org.uk/dbs-checks/guide-for-verifier .

To complete the verification process quickly, we suggest the applicant provides all of the following documents:

  • Passport (any current and valid passport);
  • Valid current driving licence (full or provisional) – UK, Isle of Man, Channel Islands and EU;
  • A document with National Insurance number included on it (e.g. payslip, NI letter, P45, P60 etc.);
  • A recent official document showing your current address (e.g. utility bill, financial statement etc.);
  • If the applicant does not have a valid passport or driving licence they should follow DBS guidance using the list of groups 1, 2a and 2b documents.

Application Process BY POST:

Your organisation must have a verifier. A verifier is a person/s who is trained to verify the identity of the applicant (see Guide for verifier ). This should be an employer or an individual nominated by the organisation’s Management.

Caring Hands Charity must have details of designated verifiers from the organisation prior to processing DBS applications.

We will post DBS application forms to the organisation for the applicants to complete and sign.

   1. The person going through a DBS check (the applicant) should complete DBS application form and sign it. Please view the guide for applicants to help you complete the DBS application form.

   2. The applicant must show at least three original documents (not copies) to the person who will be verifying their documents.

   3. We suggest the verifier request the following documents to view, if the applicant can provide them:

    • Passport (any current and valid passport);
    • Valid current driving licence (full or provisional) – UK, Isle of Man, Channel Islands and EU;
    • A document with National Insurance number included on it (e.g. payslip, NI letter, P45, P60 etc.);
    • A recent official document showing your current address (e.g. utility bill, financial statement etc.);

   4. The verifier must verify the applicant’s identity by following the ID checking guidelines for DBS check applications and Caring Hands Charity Guide for verifier .

   5. DBS application form must be completed and returned to us by post only. Do not email!

   6. Verified photocopies of the original documents signed by verifier can be returned to us by post with a completed DBS application form or via email - scanned as JPEG or PDFs, grouped together for each applicant with their DBS Application Form Reference Number and attached to an email.

To Clarify
  • Only original documents will be accepted to verify an applicant's identity.
  • Copies of the identification documents will only be accepted if they have been signed by a verifier .
  • We can accept completed DBS application forms by post if the organisation has adhered to all of the verifiers guide .
  • No copies of DBS application forms will be accepted.
  • Please do not send any original document to us by post.
  • Caring Hands Charity does not accept responsibility for any damaged or lost documents/payments received by post.
  •  Where an organisation has a designated verifier, we need to have their details.
  • Payment must be received at the time of application (or in advance) in order for us to complete the process.
